Meet Inspira

How it works

Everything you need to know about booking a meeting room.

Booking a room
  1. On the calendar, choose your location (it is remembered for next time) and the day.
  2. Click a free slot, or click and drag across several slots. Grey slots are taken or already passed.
  3. Fill in the meeting title and your email (remembered in this browser). Add CC emails if you like, then press Book.
  4. For a whole day, use + All day at the top of a room's column, or tick All day in the booking window.
  5. Want to see one room for the whole week? Click the room's name at the top of its column, or switch to Week.

There is no login - your email identifies your booking, so please use your own work email.

Booking rules
  • No double booking. A room can only have one meeting at a time.
  • You can't be in two rooms at once. Your bookings must not overlap, in any room. Several meetings on the same day are fine as long as the times don't overlap.
  • Book up to 14 days ahead. Past times can't be booked.
  • Times go in 30-minute steps.
  • No editing or cancelling from the calendar. To change a booking, ask the admin to cancel it and book again. You can always free the room yourself from the link in the email (see below).
The "Has your meeting started?" email
This is how rooms that aren't being used get freed up for others.
  • When your meeting starts, you get an email with a link. It opens a page where you press Yes, meeting started or No, release the room.
  • No answer within 15 minutes = the room is released automatically and others can book it.
  • Finished early? Open the link in the email again and release the room so others can use it.
  • All-day bookings get this email in the morning instead of at midnight.
  • The link only works for that one booking, so don't forward the email.
Recurring (weekly) meetings
  • In the booking window tick Repeat weekly, pick the weekdays and an end date (up to 365 days ahead).
  • Before booking you see every date marked Free, Room booked, You're busy or Already passed. Only the free dates are booked; the rest are skipped.
  • Each date is its own booking and gets its own "Has your meeting started?" email.
  • If 3 meetings in a row are not answered, the rest of the series is cancelled. The email for the last chance carries a warning, and you get an email if the series is cancelled. Answering Yes or Release resets the count.
Live calendar
  • The calendar updates by itself when someone books or a room is released - no need to refresh.
  • The eye badge shows how many other people are looking at the same day or week.
  • A striped Someone is booking... slot means another person has the booking window open there. You can still try, but whoever clicks Book first gets it.
